OCR scanning of tables and address registers (or direct extraction from PDF files)

OCR conversion of a paper-based address register into a database delivered in (usually) Excel format is our foremost speciality! We can convert address registers with different structures and a varying number of rows per record. The records are converted into single-row, field-divided (column-divided) records in, for example, an Excel sheet! We always check the content and length of the postcode field. The content of the postal town field is compared against Posten's register, and the street names are checked as well, so that any errors are easily found and can be corrected. Names are checked against name databases based on the population register. In addition to Swedish registers, we also take on Norwegian and Danish address registers.

An important additional service to this is the removal of duplicates through comparisons, for example against your customer register. We can perform both exact matching and fuzzy matching of duplicates.

In addition to the address register, you always receive, at no extra cost, a PDF with all the scanned page images in the job for easy reference between the Excel file and the location of the source data in the scanned stack of paper. Something our customers tend to appreciate greatly!

The cost of OCR converting addresses from paper lists is normally lower than the price of buying ready-made addresses from address companies! Bear in mind, too, that a printout of addresses you have come across may represent a more well-targeted audience than what you can buy from another address supplier! Finally, you own the addresses and can use them as much as you like! An address company may allow only a single mailing!

Interesting address sources

Some examples of interesting address sources are: LADOK units at colleges and universities, VHS (the Swedish Agency for Higher Education Services), the Swedish Council for Higher Education (UHR), CSN, International Business School, Euroclear (shareholder registers), the Swedish Forest Agency, the Election Authority (for addresses of elected politicians as well as candidates standing for election), the Swedish Board of Agriculture's central dog register, among others.

Addresses from the universities' and colleges' student management system LADOK are a very interesting source. You can order according to the courses you are interested in, addresses of newly admitted students, or why not a few cohorts of graduated students? Some customers use this approach to obtain all the engineers who have graduated in recent years for a targeted mailing. Or why not newly qualified nurses? Trade unions use this option to recruit new members. There are many possibilities for selection.

Euroclear is also a very interesting source. Among other things for new share issues, capital advisers and others who want to reach shareholders within certain companies. In addition to addresses, you also receive personal/organisation identity numbers as well as the size of the shareholdings.

OCR of email addresses

We often OCR convert address registers that include email addresses, and often also lists containing only email addresses. After capture, all email addresses are checked through a service that simulates sending to the addresses. Those addresses that prove not to work we then check especially carefully for OCR errors.

Conversion of paper-based product catalogues is another commonly occurring type of assignment that we carry out.

OCR of membership lists

We convert printed membership directories into database form. If the material is reasonably regularly laid out, then, with table interpretation and programming work, we can turn the material into a database in which name, address and so on have been divided into fields.
