Scanning of binders at a fixed price per binder is one of our popular services! Who doesn't have a binder they would like to digitise into a PDF file? We scan everything from single binders to hundreds of binders! We can now offer FADGI-calibrated scanning with our new Inotec 6x1 scanner! (Federal Agencies Digital Guidelines Initiative). It is a special calibration designed to reproduce light patches and the like that would normally disappear because of the scanner's light. Another example is light text on translucent paper, which would often become unreadable. FADGI scanning is the best choice for material intended for archiving — even if the images do not come out as brilliantly white as you might be used to. If, despite this, you would rather the material was not scanned in the FADGI style, we can scan in the classic way too.
Scanning of a whole binder into a multi-page PDF (variant 1)
Each binder results in a PDF named as agreed.
We normally scan to an image PDF at 300 dpi resolution in colour (often necessary if the material contains images). We also scan to black & white or greyscale if you prefer.
One PDF per index tab (variant 2)
A PDF file, or a folder containing a PDF file, is created for each index tab in the binder. The files might be named like this: P0001_F0001.pdf, P0001_F0002.pdf and so on. Or perhaps in a more advanced way based on some indexed value. Or perhaps names given in an Excel sheet. We can create bespoke folder and naming schemes with the help of scripts.
One PDF per division of your choice (variant 3)
One option is for you to place each document in a plastic sleeve, or to ask us to go by the stapling, or to indicate in some other way how the division should look, so that the document division comes out exactly as you want it!
Optional extra - OCR (uncorrected) included at no extra cost
OCR interpretation of the files, so they become searchable. We use the best OCR software on the market!
Optional extra - OCR (with AI-corrected OCR result) - Ask for a quote!
OCR interpretation of the files, so they become searchable. We use the best OCR software on the market! Then AI inspects the OCR result where it considers the result uncertain, against a detail image of the problem area using AI vision. A great many errors are caught and corrected automatically. You receive an Excel file listing all the corrections. It costs extra but is considerably cheaper than manual correction, with an almost equally good result.
Optional extra - Bespoke naming of the files
We can give the files new, more meaningful names! We can work from a column of new file names in an Excel sheet, or from names on cover sheets, or from a few values on the first page, and so on. We can create bespoke folder and naming schemes with the help of scripts.
Optional extra - Deskewing of text, removal of punched binder holes
If the scanned pages have margins with no content, we can carry out deskewing of the text and removal of punched binder holes.
Optional extra - Editable raw text to Word
You can receive the binder's OCR-interpreted (uncorrected) raw text as an editable Word file.
